Positions Available

As the first point of contact, you are introducing Crossbeam Builders to potential clients who have reached out inquiring about us, completing detailed project assessments that also involve walking clients through our initial process and answering questions. You will be reaching out to our trade partners frequently about new projects requiring accurate quotes, maintaining the appropriate insurance documents, tax documents and trade agreements as well as recruiting new trade partners and vetting them into the system.

The office manager works directly with the owner, project manager, and designers to coordinate and schedule team meetings, appointments as necessary and can effectively maintain a high level of organization.  As an active part of the team, you are responsible for communicating clearly any potential issues you foresee.  Accounts Payable responsibilities are somewhat light in frequency depending on the stages of each project but requires high attention to detail and ability to understand how to set up Purchase Orders, where to reference the budget for each invoice, and confirming with the project manager that the work is complete and approved per plan.

Qualifications:

  • 2-3 years of customer service experience
  • 2 years of office administrator/management experience
  • Proficient in Microsoft office programs-Specifically Word, Excel, Outlook and Calendars
  • Very detailed and organized
  • Capable of multi-tasking
  • Excellent written and verbal communication skills
  • Must be an independent worker capable of excellent time management skills

Job Responsibilities:

  • General office duties
  • Promptly return potential client inquiries and complete project assessments over the phone
  • Present Lead Opportunity Prospects during team meetings to the owner and project manager. 
  • Maintain communication with leads and schedule appointments as required
  • Coordinate team meetings and maintain agenda and Minutes
  • Accounts Payable with high attention to detail
  • Maintain current insurance documents, trade agreements & tax Documents with trade partners
  • Communicate and resolve any invoice discrepancies
  • Maintain or establish positive relationships with clients and trade partners
  • Assist the owner with compiling proposal packages for trade partners
  • Maintain a high level of organization and suggest appropriate solutions with any inefficiencies
  • Learn and become proficient with our Project Management Program (Buildertrend)

The Project Coordinator will direct and assist with management of assigned projects while following organizational policies, programs, budget, and schedules to accomplish goals and objectives. This position also directs assigned projects with adherence to planning, execution, monitoring, and closing within standard project management methodology.

Qualifications:

  • High School diploma or GED plus three (3) to five (5) years of experience working in the construction industry.  
  • Understanding of financial reports.
  • Proficient technical skills, experience and certification in the areas of service the company provides.
  • Adequate math skills. Able to quickly and effectively translate remaining work into manpower planning, project completion times, and review and assess labor time reporting. Effectively project job costs based on work remaining.  
  • Demonstrates intermediate to advanced proficiency in the use of computers and computer software, especially MS Word and Excel. Experience with estimation or construction management software is a plus.
  • Effective in receiving feedback and input from customers and employees, probing for additional information or unspoken issues and providing timely response.

Job Responsibilities:

  • Support, facilitate and coordinate the work of multiple project teams and Project Managers
  • Identify and remove barriers to successful completion of overall projects
  • Develop customer material allowances and selection sheets
  • Complete and track contracts, invoices, submittals and estimates
  • Provide timely project status updates to Project Managers
  • Maintain project work schedules and files
  • Prepare change orders and supplements
  • Purchase materials and schedule deliveries

The Assistant Project Manager will direct and assist with management of assigned projects while following organizational policies, programs, budget, and schedules to accomplish goals and objectives. This position also directs assigned projects with adherence to planning, execution, monitoring, and closing within standard project management methodology.

The ideal candidate is an up and coming project manager that can oversee multiple projects from all aspects, design, estimating, billing, execution.

Qualifications:

  • Competence, high aptitude required
  • Good attitude and excellent communication skills
  • 2-5 years of experience in the residential construction industry in project management and supervision.
  • The candidate must also have experience with construction project management software (experience with BuilderTrend a plus)
  • This candidate must be able to demonstrate leadership abilities and posses above average written and oral communication skills, including strong negotiation skills
  • The ability to work well in a team environment is also essential for this position.

Job Responsibilities:

  • Analyze and predict resources needed to reach objectives and manage resources in an effective and efficient manner.
  • Measure project performance to identify areas for improvement.
  • Recruit and manage relationships with trade partners in alignment with Crossbeam Builder’s company vision.
  • Analyze and understand project scope and objectives
  • Review Request for Proposals, Submitted Proposals and Work Orders for issues, conflicts or missing items, develop, manage and maintain a detailed project schedule and work flow.
  • Maintain a safe and clean work site.
  • Coordination of deliveries, material staging and storage as well as troubleshooting issues with deliveries.
  • Provide support to trade partners to maintain schedule. i.e.Material delivery, additional labor or small tasks when labor gaps arise.
  • Provide project updates on a consistent basis and report to managing member strategy, adjustments and progress. Keeping accurate daily logs and documenting the process with photos in Buildertrend is mission critical!
  • Manage relationships with trade partners, vendors and suppliers by assigning tasks and communicating expected deliverables.
  • Schedule and attend required inspections. Immediately follow up and schedule corrections if required. Manage re-inspection to minimize delays.
  • Track project costs in order to meet budget.
  • Manage and execute change order process. All change orders must be written, approved and signed by the project owner and paid in advance. This requires a written change order from the vendor.
